Why does my reminder system email look different or show missing variables?
If your reminder email appears outdated, is missing variables, or doesn’t match the version shown in our support guides, it's likely because you're using an older, customised template. Custom templates are locked to that version and do not automatically update when we release new versions.
To switch back to the latest version of the template, you can reset it in your account's System Emails.
How do I update my email templates to the latest version?
Follow these steps to reset and update your System Email templates:
- Go to the Settings section in your account
- Select System Emails
- Choose the category: Learner Emails or Manager Emails
- Click the Reset icon (on the right) of the specific template to default it to our latest system version.
- If you'd like to customise the template, click the pencil icon, make your changes, then Save
- When you’re happy with it, click Publish (the checkmark icon) to make your custom changes active.
Note: If you want all templates updated to the newest versions, you must reset each template under both Learner and Manager Emails individually.

Do I need to update each client account manually?
No, you do not.
Once a template is Published, it automatically appears in the template library for all customers managed under your account.
Partner Note (for Distributors managing multiple clients): You only need to publish a template once in your primary account. The updated template immediately becomes available in the template library for all of your connected customer or partner accounts - no need to log into each one individually.
