What should I do if a learner has not completed their training by the campaign end date?
If a learner hasn't completed their training by the campaign end date, they can still access and complete it because the end date only serves to encourage completion, not restrict access.
You have two main options for following up: enabling automatic system reminders or sending customised notifications.
Training Reminder Notifications
The system offers an automated way to follow up:
- System Reminders: Managers can set up monthly training reminder notifications under Settings.
- Automatic Sending: Once enabled, the system automatically sends these reminders to any learners with incomplete training, regardless of the campaign's end date.
- Progress-Tied: Reminders are tied to the learner's progress, not the campaign timeline. If a learner has any incomplete modules or videos, they will continue receiving monthly reminders until everything is fully completed.
For more information, see the How to Set up Training Reminder Notifications guide.
Customised Notifications
If you prefer to send your own tailored reminders, you can easily identify learners who haven't completed their training and contact them directly.
Identifying Learners with Incomplete Training
Use the Actionable CSV Report to get the list of email addresses:
- Go to Reports → select Training Campaigns.
- Select CSV format → choose "Select All" or tick box next to a specific campaign
- Get Report.
- Filter the spreadsheet by the Progress column to isolate learners marked as "Not Started" or "Incomplete".
- Copy their email addresses and send a custom reminder via BCC using your email system to encourage completion.
Reminder Message:
When sending your custom reminder, ensure you:
- Direct learners to their My Training library to complete the outstanding modules.
- Inform learners that the system will continue sending reminder emails until all assigned training is complete.
- Ask them to complete training if they receive a notification.
