System Emails
The System Emails section (found under Settings) houses all essential email templates automatically sent from the platform. It consists of the following sub-sections:
- Templates: Explore pre-built email templates for Learners, Managers, and Partners.
- Recipients: Assign specific managers to receive system emails.
- Preferences: Customise email signatures with your company contact details.
- History: View and track the sending history of system emails.

TEMPLATES
The Templates section has three sub-tabs:
- Learner Emails
Automated emails sent to learners, including:
- Password Reset Request: Sent when a learner requests a new password.
- Training Completion: Sent when a learner completes all assigned training.
- Training Reminder: Sent as a deadline reminder for incomplete training.
- Welcome Email: Onboarding email sent when the first training campaign launches.
- Phishing Campaign Notifications: Sent based on learners' actions during a phishing campaign.
- Training Campaign Welcome: Sent when new training is assigned.
- Manager Emails
Automated emails sent to company managers, such as:
- License Expiry Notification: Alerts about expiring licenses.
- License Assigned Notification: Informs managers of assigned licenses.
- Manager Welcome Email: Onboarding email for new managers.
- Phishing Campaign Results: Reports from recently ended phishing campaigns.
- Premium License Request: Alerts when trial managers request premium licenses.
- Free Trial Expiry: Sent before and after free trials end.
- Training Campaign Results: Reports from completed training campaigns.
- Partner Emails
Automated emails sent to Partner Account Managers:
- Partner Welcome Email: Onboarding email for new Partner account managers.
- License Request Notification: Sent when customers request licenses.
RECIPIENTS
Assign which company managers receive specific system emails.
Steps:
- Login to your Admin dashboard.
- Navigate to the 'Settings' section.
- Select the 'Recipients' tab.
- Select a Manager and tick the emails they should receive, or use 'Select All'.
PREFERENCES
Customise your system email signature with your organisation’s key contact for training or security-related queries.
Steps:
- Login to your Admin dashboard.
- Navigate to the 'Settings' section.
- Select the 'Preferences' tab.
- Fill in the Manager’s contact info and click 'Save'.
HISTORY
Track and review system emails sent from the platform.
Steps:
- Login to your Admin dashboard.
- Navigate to the 'Users' section.
- Select the 'Emails' tab.
