Admin Managers' Guide: Account Settings



This guide will walk you through how to set up and manage your account settings.

Theme & Company Log ( Whitelabeling)


Whitelabelling the Security Awareness Training and Simulated Phishing platform allows you to align the look and feel with your company culture and brand identity.


Theme Settings


  1. Log in to your Admin dashboard.
  2. Navigate to Settings > Theme.
  3. Customise your platform style:
  • Step 1: Select your Primary and Secondary brand colours, plus your preferred fonts.
  • Step 2: Choose Light Theme preferences.
  • Step 3: Or switch to Dark Theme preferences.
  • Use Advanced Options for detailed fine-tuning.

Logo Settings


  1. Navigate to Settings > Company Logo.
  2. Click Choose File, select your logo, and upload it.
  3. Adjust the size and placement, then click Save.

💡 Need to roll back? Just click Reset to restore the previous logo.

Pro Tip: For best results, use a logo with minimum dimensions of 200 x 200px and a transparent background.


System Emails


System Emails are automatic notifications sent from the platform to learners, managers, and (for partner accounts) partners.


The section is split into four areas:

  1. Templates: Preview and customise email templates.
  2. Recipients: Set which emails managers receive.
  3. Preferences: Add point of contact information that will appear on emails
  4. History: View logs of activity.

Templates


Templates are organised into three sub-tabs:

  • Learner Emails: Automated notifications to learners.
  • Manager Emails: Automated notifications to managers.
  • Partner Emails: For partner accounts only.

Recipients


Set what notification emails managers receive:

  • Go to System Emails > Recipients.
  • Select a manager and tick which notifications they should receive, or use Select All.


Preferences


Customise your email signature with your organisation’s key contact details.

  1. Go to System Emails > Preferences.
  2. Enter the manager’s name, email address, and signature.
  3. Click Save.

History


Track and review all sent system emails.

  1. Go to System Emails > History.
  2. Filter by Title or Date to locate emails.

Resend Welcome Emails


If learners misplace their welcome email, you can resend it:

  1. Go to System Emails > History.
  2. Click Send Emails (top left).
  3. Select the Email Type:
  • Learner Welcome Email – resent to all learners, includes login instructions.
  • Training Campaign Welcome Email – resent to learners assigned to that campaign.
  1. Click Send Emails (top right).


User Sync


Once you’ve connected to Microsoft Azure or Okta, you can sync your Active Directory (AD) to manage users.

  • Changes in AD automatically apply to your account at each sync (based on the schedule set during setup).
  • Changes in your Goldphish account do not sync back to AD.

SSO


Setting up SSO and Directory Sync requires two steps:


  1. Connect the Okta Directory with Goldphish.
  2. Configure your Okta OIDC settings to enable Single Sign-On.

Logs


Admins can view logs of platform actions by managers, including:

  • Deleted learners
  • Deleted licences


Reminders


Admins can schedule monthly reminder emails for learners with incomplete training.

  1. Go to Settings > Reminders.
  2. Enable Training Reminders.
  3. Choose recurrence: First week or Last week of the month.
  4. Select a specific day and time.
  5. Choose your Time Zone.
  6. Click Save.

🔔 Once enabled, reminders apply across all training campaigns.

Notes:

  • Reminders are sent to all learners with incomplete training, even after a campaign has ended.
  • The reminders are tied to learner progress, not campaign timelines.
  • Learners will continue receiving reminders until all assigned content is completed.
