Overview of System Emails

System Email Library

The System Email library is a rich collection of email templates, featuring a mix of automated onboarding welcome and training notifications, phishing alerts, reminders, and just-in-time training emails – covering all the essential communications that the platform automatically sends to your learners. Managers have the ability to customise these templates to suit their needs, adding a local touch, injecting some personality, and ensuring they align perfectly with the company's unique character. It's all about making them your own.

Within the 'System Emails' section, you'll find sub-section tabs for easy navigation:

How it Works:

Templates Section

Within the 'Templates' section, you'll find three tabs for easy navigation:

  1. Learner Emails

Here you'll find a mix of automated emails – covering all the essential communications that the platform automatically sends to your learners.

  • Learner password reset request: Email sent when a learner requests a new password. 
  • Learner training completion: Email sent when a learner completes all assigned training in a campaign.
  • Learner training reminder: Email sent when a training campaign due date is approaching and the learner has not yet completed the assignment. Managers can schedule when these reminders go out, as part of the Campaign Creation process. 
  • Learner welcome Email: Onboarding email sent to new learners when the first training campaign is launched. Learners are provided with a URL to the platform as well as unique login credentials.
  • Phishing campaign Notification Emails: A range of notification emails that are sent to Learners as part of a Phishing Campaign, depending on their actions. 
  • Training campaign Welcome Email: This email is sent to all Learners when a new training campaign is launched and they have the training to complete. 

  1. Manager Emails

Here you'll find a mix of automated emails – covering all the essential communications that the platform automatically sends to Managers.

  • License expiry notification: Email sent to company managers when licenses are about to expire.
  • License assigned notification: Email sent to company managers when your Service Provider has assigned ordered licenses.
  • Manager welcome email: Onboarding email sent to new Premium company manager when created.
  • Phishing campaign results: Results of a phishing campaign that recently ended are automatically emailed to the company manager. 
  • Premium training license requested: Email sent to free trial managers when premium licenses are requested.
  • Security Awareness Training -Free Trial Expired: Email sent to free trial Managers informing them that their free account period has expired. Company Managers will lose access to the platform. When attempting to login to the platform, Company Managers will be redirected to a dedicated landing page providing clear instructions on upgrading to PREMIUM.
  • Security Awareness Training -Free Trial Expiry: Email sent to free trial Managers reminding them that their free account period is about to expire in 72 hours.
  • Security Awareness Training -Free Trial Onboarding: An onboarding email is sent to new free trial company managers guiding them to set up their login and password.
  • Training Campaign Results: Results of a recently ended training campaign are automatically emailed to the company manager.

  1. Partner Emails

Here you'll find two automated emails – covering all the essential communications the platform automatically sends to Partner Account Managers.

  • Partner Welcome Email: Onboarding email sent to new MSP Partner account managers. Partners are provided with a URL to the platform, unique login credentials, as well as guidance on their roles and privileges.
  • License Request Notification: A notification email is sent to MSP Partner account managers when customers request licenses.


Recipients Section

Here you'll find a list of assigned company Managers – you will have the ability to choose which managers receive specific emails.

Customising the default settings of your recipient system emails is a breeze. Here's how:

  • Login to your Admin dashboard.
  • Navigate to the 'Settings' section.
  • Select the 'Recipients' tab.
  • Choose 'Manager'
  • Select which system emails you would like the manager to receive. *You can either select them one by one or opt for all by clicking the 'Select All' checkbox.

NOTE FOR PARTNERS: During company setup, you have the option to assign yourself or another account manager as the primary company manager for all your customer companies. This ensures that the appointed partner account manager receives all customer manager system emails, or specific ones if selected.


Preferences Section

Here, you will have the ability to customise your company contact and system email signature with an appointed individual's contact details. Whether it's your organization's most trusted security IT guy, Training, or HR team, this individual's contact information will be displayed on every system email sent to learners. When someone in your organisation has a question about the training or needs to report a security-related incident, this is the hero they reach out to

Customising the default settings of your system emails is a breeze. Here's how:

  • Login to your Admin dashboard.
  • Navigate to the 'Settings' section.
  • Select the 'Preferences' tab.
  • Populate Manager information. *This person's contact information will automatically display on every system email sent to learners.
  • Click' Save'.


System Email History

Here, you will have the ability to view the sending history of all your system emails sent from the platform. This feature allows you to confirm and track that emails have been automatically sent to learners, and provides details on the number of emails sent and when they were sent.

Viewing your send history of all system emails is a breeze. Here's how:

  • Login to your Admin dashboard.
  • Navigate to the 'Users' section.
  • Select the 'Emails' tab.

  • For Managers seeking more detailed insights, you can further refine your search by filtering emails based on their type, campaign, or date. Simply click on the convenient 'Filter icon' to access these options.
