Admin Managers' Guide: How to Resend Learner Welcome Emails

System emails are the primary method for learners to access the GoldPhish platform. By default, every learner automatically receives a Learner Welcome Email and a Training Campaign Welcome Email upon their first assignment.

Before resending any emails, please double-check the following:

• Email Accuracy: Check the Users section to ensure there are no typos in the learner's email address.
• Spam Filters: Ask the learner to check their Junk or Spam folders.
• Whitelisting: If multiple learners are affected, your IT department may need to whitelist our sending domains to prevent emails from being blocked at the server level.

Option 1: Manual Trigger (For 1- 2 people)

If most learners received their emails, but a few did not, use this method first to avoid sending unnecessary bulk emails.

1. Tell the learner to go to https://app.goldphish.com.
2. Have them click 'Forgot your password?'.
3. Once they pop their email in, the system sends them a fresh onboarding link immediately.

Option 2: Bulk Resend Tool

This tool should be used with caution as it is a system-wide action.

How to resend in bulk:

1. Log in to your Admin Dashboard.
2. Navigate to Settings > System Emails > History.
3. Click the 'Send Emails' button.
4. Select the Email Type: either "Learner Welcome" or "Training Campaign Welcome".
5. Click 'Send Emails' to confirm.

Can I resend emails to a specific department or group?

• Currently, the bulk tool only supports system-wide sends. For specific groups, we recommend using the individual reset method.

What if the link in the email has expired?

• If a learner attempts to use an old link, simply follow Option 1 above. The system will immediately trigger a fresh onboarding/reset link for them to set up their account.
