Import Users in Bulk via a CSV File

Before kicking off any Security Awareness Program or campaign, it's important to bring your employees on board (from here on, let's call them learners).

Importing learners by CSV


The easiest way to add learners is by uploading a CSV or Excel spreadsheet. No need for special formatting- just upload the file your HR team provides, and then map the relevant fields (e.g. first name, last name, email, department).

Recommended Fields

We recommend including the following fields to personalise the learner experience:

  • First name
  • Last name
  • Email address
  • Departments ( if available)

Step 1: Upload Your Spreadsheet


  • Go to the Users section in the platform.
  • Click Add Users> Import Users.
  • Click Load Users from File.
  • 'Choose File' and upload your CSV.
  • Click 'Complete Upload'.

Step 2: Match data fields


Match the columns in your file with the system's required fields in the Select Columns section.

  • The platform will show headings for each required field.
  • Use the dropdowns to match the data from your spreadsheet to the system fields.

*If department data is included, departments will be auto-created.

  • Check department names for accuracy.
  • Click Edit if any changes are needed.
  • Preview a sample learner profile.
  • When you're happy, click Complete Upload.

3. Validate & Correct Errors


Once the upload completes, you'll be redirected to the User List page.

  • Click Validate to allow the system to automatically check for errors (e.g. duplicates or formatting issues).
  • If validation passes, click Save to finalise the import.


Correcting Errors


If there are validation issues:

  • Click Cancel to fix the issues in your original file and re-upload.
  • Or delete specific entries using the bin icon.
  • Once corrected, click Validate again and then Save.

Note: Learners will not receive any automated onboarding or welcome emails at this stage. This allows managers to run baseline phishing simulations without alerting learners to the start of your programme.
