Import Users in Bulk via a CSV File

Before kicking off any Security Awareness Program or campaign, it's important to bring your employees on board (from here on, let's call them learners).

Importing learners by CSV

The easiest way to add learners is to import a CSV. Don't worry, we don't need any fancy formatting, just upload the CSV file (or Excel Spreadsheet) your HR team has provided and then simply select which data fields you want to upload (first and last name, email, department, etc.)  

Here are some of the fields we recommend adding to your CSV file before importing your learners:  

  • First name
  • Last name
  • Email address
  • Departments ( if available)

Of these fields, just the email address is actually required, but adding more info helps personalise the experience for your learners. You can always update this info later, but including it now saves time.

1. Upload your spreadsheet

  • Complete your CSV file and head to the 'Users' section.
  • Click 'Add Users' > 'Import Users.'

  • Choose 'Load Users From File'

  • Click 'Choose File' and upload your CSV.

2. Match data fields

Match the CSV data fields with the platform's minimum requirements in the 'Select columns' section.

The platform data requirements appear as headings in each block. The column headings or data from your CSV file appear in drop-downs - go ahead and simply match the two! 

At this stage, the platform has automatically created your department names from the provided file.

  • Check for any department name errors and make changes if needed using the 'Edit' buttons.
  • Review the mock-up learner profile and click 'Complete Upload' once you're happy.

3. Validate & correct errors

After the successful upload, the page will redirect to the user list page.

  • Select 'Validate' and allow the system to automatically check for any errors and duplications.
  • Click 'Save' once validation passes and you are good to go!

Departments listed in your spreadsheet will be automatically created as part of the process. Learners will be automatically grouped into their allocated departments.

In the event of Validation errors, you have the following options: you can choose to:

  • 'Cancel' and return to your CSV,
  • ignore the error, or
  • delete the error by using the 'bin' icon

NOTE: Learners will not receive automated onboarding notification emails at this stage. This allows managers to launch baseline simulated phishing assessments without alerting learners to the start of your programme.
