Customer Managers' Guide: How to Add New Learners
Before launching any Security Awareness Program or campaign, it's vital to ensure clear communication with your employees (referred to as learners). Let them know they'll be receiving onboarding welcome emails shortly, and urge them to set up their logins promptly.

Importing Learners
Adding new learners to the platform is super easy, and we've got a few options available depending on your preference.
To get started importing your learners follow these easy steps:
- Login and access your 'Admin dashboard'
- Navigate to the 'Users' section,
- Click on the 'Add Users' button located top right corner. Managers will have the choice to:
- Manually 'Add User' one at a time,
- 'Import Users' in bulk via a CSV file, or
- 'Sync Users' using Active Directory Integration.

How to Add Learners Manually:
You may need to add single new joiners during your ongoing awareness program, the quickest way to do this is by adding them manually.
To begin, follow these easy steps:
- Navigating to the 'Users' section
- Click the 'Add Users' button located in the top right corner
- Select 'Add User'.
- Provide Information for the learner
- Click 'Save'.

How To Import Learners via CSV
The simplest method for adding learners is by importing a CSV file or Excel spreadsheet provided by your HR team. No need for complex formatting; just select the relevant data fields such as first name, last name, email, and department.
Here are the recommended fields to include in your CSV file:
- First names of learners
- Last names of learners
- Company email addresses
- Departments
To begin, follow these easy steps:
- Navigate to the 'Users' section.
- Click 'Add Users' button located in the top right corner.
- Select 'Import Users'.
- Click 'Load Users From File'.
- Choose your CSV file and click 'Complete Upload'.

Syncing Learners by Active Directory
For organisations with a large number of learners being frequently added and removed, syncing learner imports with our Active Directory Integration feature is a preferred option. Currently, we integrate with Microsoft Active Directory.
To begin, follow these easy steps:
- Navigate to the 'Users' section.
- Click the 'Add Users' button located in the top right corner.
- Select 'Sync Users'.

New Learner Onboarding Notifications
First-time learners on the platform will receive two emails to their mailboxes from app@goldphish.com.
- The first is an automated onboarding welcome email, containing their Username and a 'Set password' link (or "token") to the platform to get started with their training program.
- The second is a 'New Training Notification' email that notifies the learner that new training has been assigned to them by their manager.
NOTE: These system emails will only be sent to learners once the first Training Campaign has been created and launched. This allows managers to launch simulated phishing campaigns without learners being alerted.
Note: For security purposes, the initial token/link received in the onboarding email is only valid for 7 days. A learner logging in for the first time after this period will receive an 'Invalid token' message on the Welcome page and will need to click on the 'Forgot your password?' link to receive another onboarding email.
