Admin Managers' Guide: How to Upgrade Your Free Trial Account

This guide explains the options for converting your 30-day free trial into a full, active subscription.
Trial Expiry Notification
Your Company Managers will receive two automated email notifications regarding the status of your 30-day free trial:

| Shortly Before Expiry | Security Awareness Training – Free Trial Expiry | A friendly reminder to plan your upgrade. |
| Once the Trial Has Ended | Security Awareness Training – Free Trial Expired | Notifies you that the trial has ended, and platform access has been lost. |

🚀 Upgrade Pathways
You can upgrade your account at any time—there is no need to wait for your trial to end.
Choose one of the following methods:
| Method | Action |
| 1. Contact Your Account Manager | Get in touch with your dedicated Account Manager and ask them to process the upgrade on your behalf. |
| 2. Self-Service Upgrade | Proceed to the Upgrade Process below (Steps 1 & 2) to initiate the request from your Admin Dashboard. |
Licence Types Explained
Before proceeding, understand the difference between the available subscriptions:

| Premium | Self-Managed | Full platform access for 12 months. Gives Admin Managers full control over the Security Awareness Programme. | Proceed to Step 1: Order Licences. |

Licence Types Explained

How to Upgrade Your Account
This two-step process is what you must follow to complete a Premium upgrade.
Step 1: Order Licences
This is where you select the licence type and quantity.
- Log in to your Admin Dashboard.
- Go to your Licence section → click the Upgrade button (top right corner).
- Choose your licence type: Premium or Managed.
- Enter the number of licences required > click Save.
Note: Your Account Manager will approve the request shortly. Keep an eye on your inbox for a notification email confirming your new Premium licences are assigned and available for allocation to learners.

Step 2: Allocate Premium Licenses to Expired Trial Learners
The final step is to allocate the new Premium licences to the learners whose trial licences have now expired.
- Navigate to your Licence section.
- Click the Expired Licences tab.
- Choose your allocation method: Manual Allocation, Import Allocation (CSV), or leverage AD Integration.
Important: The platform does not auto-renew licences; you control which learner accounts are renewed.
🔹Manual Allocation
- Select the learners one by one or click the Select All checkbox.
- Click Allocate Licenses.

🔹Import Allocation (Recommended for large groups)
- Click Import Allocation (top right corner).
- Choose your CSV spreadsheet.
- Select the spreadsheet column that contains the email addresses.
- Review Summary and select learners to renew vs. learners to ignore.
- Click Renew Licences.

🔹AD Integration Note on Renewal: The Automated Approach
If Microsoft AD Integration is active, it streamlines the licence allocation process (Step 2) for existing trial learners.
- User Status Maintained: During the sync, if a former trial user is still in the synced AD group, they are recognised as an "Existing Learner." The sync maintains their user record.
- License Entitlement Provided (Partner's Role): Your Partner must first complete the assignment of your ordered Premium Licences (handled behind the scenes after your request).
- Automatic Re-licensing: When the next sync runs, if the "Existing Learner" record is maintained AND an available Premium Licence exists, the platform will automatically re-licence that user. This replaces the need for manual allocation in the Expired Licences tab.

Note on Data Flow (One-Way Sync): Synchronisation is a one-way process; information flows from your AD to the Goldphish Platform, not vice versa. The platform cannot write changes back to your Active Directory.
